What makes a professional email signature
A good signature answers "who is this and how do I reach them?" in about four lines. Keep it short, consistent with your brand, and readable on a phone.
Include
- Your full name. As you sign off, so replies feel personal.
- Job title and company. Tells new contacts who you are at a glance.
- One or two phone numbers. Tappable on mobile; skip the fax.
- Website. Short, without https:// — the generator tidies it for you.
- Logo or headshot. One image, small (under 50 KB), at a direct HTTPS link.
- A few social links. Only the profiles you actually keep up to date.
Avoid
- Quotes, slogans and long taglines
- Your email address in a signature you only use for that address
- More than two images, or images as the whole signature
- Several fonts and colours — pick one accent colour
- Huge legal disclaimers on every reply
Why signatures break — and how these templates avoid it
Email apps are not web browsers. Gmail and Outlook throw away style sheets, ignore most modern CSS, and Outlook for Windows still renders mail with Microsoft Word. A signature built like a web page falls apart the moment it is pasted.
Every template here is a simple table with inline styles, web-safe fonts and fixed image widths — the same approach email marketers use — so it keeps its shape in Gmail, Outlook, Apple Mail and on phones. Social links are text, not icon images, so they show even when a recipient blocks remote images.
Images are the usual weak spot. They must sit at a public HTTPS address that returns the picture itself. If you need one, use email signature image hosting to get a direct link for your logo or headshot.
GOOD TO KNOWFrequently Asked Questions
Is this email signature generator really free?
Yes. Building, previewing and copying a signature is free with no account. The signature includes a small optional Linkyhost credit link, which you can untick before copying.
Which email apps does the signature work in?
Gmail, Outlook (new, classic and web), Apple Mail, Thunderbird and most other HTML mail apps. The templates use tables and inline styles — the only formatting mail apps reliably keep — and web-safe fonts so they look the same in every inbox.
How do I add a logo or photo?
Paste a direct HTTPS link to the image. Email signatures can't carry the picture inside them reliably, so it has to live at a public URL. Google Drive, Dropbox and OneDrive share links open a preview page instead of the image, so they won't display. You can host the image on Linkyhost's email signature image hosting page to get a direct link.
Why does my signature look different after I paste it?
Paste into the signature editor itself, not a draft email, and paste with formatting (Ctrl+V / ⌘V, not 'paste as plain text'). In Apple Mail, untick 'Always match my default message font' first. On iPhone, iOS sometimes flattens the first paste — shake to undo and paste again.
Is my information stored anywhere?
No. The signature is built in your browser and nothing you type is sent to Linkyhost. Your draft is kept in this browser's local storage so you can come back and edit it.
Can I edit the HTML?
Yes. Use Copy HTML code to get the raw signature markup for Thunderbird, a help-desk tool, or a signature manager that accepts HTML.
