Form Submissions

When a Linkyhost user publishes a form using our form builder, Linkyhost acts as a data processor for the responses collected through that form. The form's owner (a Linkyhost customer) is the data controller and is responsible for lawful collection, notice to submitters, and compliance with applicable data-protection law.

What we store when you submit a form hosted on Linkyhost:

  • The values you typed into the form's fields
  • The time of submission
  • An anonymised IP address (last octet for IPv4, last segments for IPv6)
  • The browser user-agent string and the referring URL, truncated

What we do not store:

  • Your full IP address
  • Cookies or persistent device identifiers tied to the submission
  • Any data beyond what the form explicitly asked for

How long we keep it: The form owner chooses a retention period of 7, 30, 90, or 365 days (default: 90). Once the retention period passes, submissions are deleted automatically by a database TTL sweep. If the owner deletes the form or their account, submissions are deleted immediately.

Your rights as a submitter: You can request deletion of submissions linked to your email address at any time, without contacting the form owner. Visit linkyhost.com/forms/request-deletion, enter your email, and confirm via the one-time link we send you. We always reply with the same "check your inbox" message regardless of whether a match was found, so the endpoint cannot be used to enumerate which addresses have submitted which forms.

Abuse scanning: Every submission is scanned for content that suggests the form is being used for phishing or fraud (credit-card numbers, national-ID numbers, crypto recovery phrases, private keys, password-like strings). Flagged submissions are stored alongside the flag type so the form owner can review them, and forms that trip our auto-pause thresholds are suspended pending human review. We share flagged submission metadata (not content) with our abuse-response pipeline to decide whether to ban the form's owner under our acceptable-use policy.

Document Tracking

When a Linkyhost user turns on document tracking for a PDF, Linkyhost acts as a data processor for the information collected about people who open that document. The document's owner (a Linkyhost customer) is the data controller and is responsible for having a lawful reason to collect it.

What we store when you open a tracked document:

  • The email address you enter, if the owner asks for one, and whether you confirmed it with a one-time code
  • When you opened the document, and how long each page was on your screen
  • Your approximate country and a broad browser and device category (for example "Chrome Desktop"), not your IP address or full user-agent string
  • Whether you used the document's download link

Before you enter an email address, the page tells you that the owner will see it along with when you opened the document and how long you spent on each page.

Who sees it: the document's owner and the members of their Linkyhost workspace. If the owner turned on watermarks, your email address and the time are drawn onto the pages you view.

How long we keep it: reading sessions are deleted automatically one year after they start, and your email record one year after your last visit. When the owner deletes the document or their account, or the document's link expires, we delete this data with it.

Your rights as a reader: to access or delete this data, contact the person who shared the document, or email support@linkyhost.com.

Data Sharing and Disclosure

We do not sell your personal information. We may share data only in these limited circumstances:

  • With service providers who help us operate our platform
  • When required by law or to protect our rights
  • In case of a business transfer or merger
  • With your explicit consent
